Acquisitions (ACQ) The Property Marketing Process PRE-ACQ Timeframe: Starts 30 days prior to Acquisition Date. If Acquisition is within 30 days, Property Marketing will send within 48 business hours once notified of Acquisition. Full summary of what is needed from OPS + Current PMC Marketing Recommendations Need from OPS List of missing General Property Information Dropbox/Shared drive access (Give access to pegasusresidentialweb@gmail.com) Marketing contact at current PMC Marketing Recommendations Approvals Need from current PMC ASAP: Media Assets ON DAY OF TRANS: Social Media Access and Vanity Domain Transfer NOTE: Onboarding for Property Marketing systems can take up to 14 days to set-up. We cannot start to onboard Knock, Property Website and/or advertising or any other system until we receive a destination number, email and Marketing Recommendation approvals. STEP 4 | INITIAL EMAIL TO CURRENT PMC MARKETING CONTACT Full summary of what is needed ASAP: Media Assets ON DAY OF TRANS: Social Media Access and Vanity Domain Transfer STEP 5 | SAVE MEDIA ASSETS TO PEGASUS Z DRIVE SAVE to Pegasus FTP site HERE. (as they are received from current PMC) LOGO + brand guidelines Floor Plan files / Site Map Photos / Videos Virtual Tours **MUST HAVE A SIGNED PMA OR GENERAL AUTHORIZATION LETTER TO START THE REMAINING STEPS** STEP 6 | ONBOARD LEAD MANAGEMENT SYSTEM – As soon as all required information is received. In order to have Knock LIVE on the Acquisition date, the DEADLINE to start onboard of Knock is 14 days prior to Acquisition date. Advertising will not be launched without Knock being LIVE. Complete Knock Onboard form Order Knock dashboard from Vendor Start to Integrate Knock with all systems STEP 7 | ONBOARD ADVERTISING – As soon as all required information is received. Digital Advertising (Property Website/ILS/SEM): Request contract from vendor Sign + Save contracts Update lead tracking Build Property website STEP 8 | REQUEST A.I. – As soon as all required information is received. Request set-up for OPS with Diffe.rent vendor DAY OF TRANSITION OPS or TRANSITIONS TEAM must notify Property Marketing the sale has closed to trigger the following steps. Timeframe: Day of Acquisition. STEP 9 | TRANSFER DIGITAL TO PEGASUS Social Media Gmail: create Facebook Add admins Add ownership Remove previous employees GMB Add ownership Move to Pegasus folder Remove previous employees Instagram Login received and works Update email to gmail Change password Vanity Domain Account change initiated Move to Pegasus folder Notify Webhost to LAUNCH STEP 10 | UPDATE DIGITAL Profile/Cover artwork (FB/GMB/IG) Knock tracking + scheduling links (FB/GMB) Complete Integrations Knock + FB Page IG + FB page GMB verification STEP 11 | NOTIFY OPS OF LAUNCHES “Knock is LIVE” email to PM/RM/AVP How to add Users Training Information on Knock Knock Contacts “Property Website is LIVE” email to PM/RM/AVP – If we do not get the vanity domain from the current PMC, this will delay the launch of the property website. STEP 12 | REALPAGE INTEGRATIONS OneSite Leasing & Rents is live (typically received day of Acquisition; timeline based on Robin Fluharty) Knock integration Webhost integration Resident Portal link is live (typically received 3 days after Acquisition; timeline based on Robin Fluharty) Send to webhost – Can take up to 48 hours to be added to the Property Website Syndication is live (typically received 7 days after Acquisition; timeline based on Robin Fluharty) Update/Add ILS channels Notify ILS Advertisers to use data feed – Can take up to 48 hours to be feeding to the ILS sites Online Leasing live (typically received 14 days after Acquisition; timeline based on Robin Fluharty.) Send to webhost – Can take up to 48 hours to be added to the Property Website Send to Knock – Can take up to 48 hours to be added to the Knock quotes
