Adding a Recurring Service Request
RealPage: Adding a Recurring Service Request Add the service issue details as you would for any service request, and specify the frequency and a beginning date and ending date so OneSite knows when and how often to initiate the service request. Complete the following steps to add a recurring service request: To open the Add recurring service request box, click New on the Recurring service requests page. Choose a property and request type: Choose a property: Choose one property from the list of properties associated with the current RPC login. Request type: Click the Request type drop-down to select the location where the work is to be done. Select one of the following: Single unit: This option will give you available building and unit number combinations to choose from. All units – one request: Skip to step 4. A single service request will be created to indicate a service issue that affects every unit of the chosen property. All units – each unit: Skip to step 4. A service request will be created for every unit. Common area: This option will give you a Common area list to select from in the next step. Building: This option will give you a Building list to select the building number from in the next step. Multiple units – one request: This option will allow you to select the units this request applies to. A single service request will be created to indicate a service issue that affects every unit selected. Multiple units – each unit: This option will allow you to select the units you want the service request to be created for. A separate service request is created for every unit selected. Apartment: Enter the apartment number in the Apartment field. (This field only appears if you are using OneSite Leasing & Rents—Student Living.) Click Submit to retrieve and choose a list of specific locations. The list of Available units will include all locations at the current property that allow for the specific recurring service request type you have chosen. Click a unit/area and then click Select to move it to the Selected units box. You can also Select all, Remove, and Remove all between both boxes/lists. Click Service category and then select the appropriate category. Select the Location of issue where the work must be done. For certain service categories, you do not need to select a Location of issue. Click Item and then select the item that requires service. If you do not see the item, then the item is not one that belongs to the Service category you chose. Return to Service category and make a different selection. Click Service issue and then select the issue or problem that will be resolved by the service request. Click Preset priority and then select the priority for the recurring service request. Select a workgroup from the Assign to workgroup list. Select a technician from the Technician list. Enter a descriptive explanation of the recurring service request in the Service comments box. Click Frequency and then select: Daily (weekdays only), Daily (including weekends), Weekly, Every two weeks, Monthly, Quarterly, Annually, or Semi-annually. This selection establishes how frequently the service request recurs. Set the dates for this recurring service request as follows: The Start date is the date that OneSite will generate the first service request. OneSite creates the service requests at 3:00 A.M. each morning, so this must be a future date (at least one day later than the current date). Enter the date or click Calendar to choose the date. Enter an End date, if applicable. Or, keep it open-ended by entering a date such as 12/31/2099. This field can also be left blank to keep the recurring service request open-ended. Enter the date or click Calendar to choose the date. Click Save to finish setting up the recurring service request. See Also
