Editing a FAS

Opening/Editing a FAS: FAS Best Practices: Walk the unit the day keys are received to assess all damages. Process the final water bill the day of move out. A forwarding address is REQUIRED when processing a FAS. If the resident moved out prior to lease expiration charge the termination fee on FAS prior to FAS closure. All additional charges damages, final water bill, etc. should be added during FAS closure. DO NOT ADD THESE CHARGES TO THE LEDGER. If an applicant is cancelled/denied within 72 hours remove the charge in the ledger for the Administration fee so that it may be refunded per policy.th DO NOT CLOSE A FAS JUST SO THE DATE CAN BE ADVANCED. Be aware of the laws in your state so that the FAS is sent to the resident in compliance with state law. Editing a FAS: All final account statements with pending unpaid refunds in accounting can be opened for edit by the Help Desk up to 30 days after FAS closure. FAS over 30 days old but not in collections status can be edited by the Help Desk only. Confirmation from Accounting, that the refund check has not been paid must be received prior to any edits. The site will place a Help desk ticket providing the edit details with dollar amounts. FAS Refund Address adjustments should be sent directly to the Accounts Payable Specialist for the Property. Do not place a Help Desk ticket to open or edit the FAS. All final account statements with a refund that has been paid by accounting will not be opened by the helpdesk. If additional funds are owed to the resident after closing the FAS and issuing a refund check, a check request will need to be submitted to AP. Final account statements with balances not transmitted to collections can be edited by the helpdesk. Please note that all adjustments made after the FAS is closed out without charging up fees will have the Regional and VP for the site notified on the completion of the adjustments to the account. Final account statements with balances already transmitted to the collection agency will not be opened or modified by the helpdesk. You will need to print the FAS, make a hand- written adjustment to the original final account statement and then send the adjusted FAS to the collection agency for correction. (NCS will require Regional Manager approval for any adjustments.) SOP 695 Posting a payment from a former resident. Payments can be scanned directly to the FAS for the former resident prior to export to collection status. Be sure to select the former resident when scanning. If the payment is posted to the current resident it can’t be moved to the closed account. If the Former Resident’s account is in collections status the payment will need to scanned to the Other Miscellaneous income ledger with the offsetting charge to bad debt. The FAS will need to be printed, the payment amount added to the total on the FAS, then the updated FAS sent to NCS to correct in the collection account. Posting a Lease Lock Payment Payments from Lease Lock should be scanned directly to the FAS for the former resident. If the FAS is in Collection Status the team will go to Special Collection Status on the Resident’s page, uncheck “in collection” box, then scan the payment. Once the payment is scanned, the “in collection” check box should be rechecked and the updated FAS sent to NCS for correction. *NEVER SCAN A LEASE LOCK CHECK TO THE MISCELLANEAOUS INCOME LEDGER!!!
