In the General property section, click the Leasing & Rents setting. Select Maintain site amenities in the Amenities section. Maintaining Amenities Defining Floor Plan/Unit Amenities When you first open this page, the system displays the Floor plan/unit view of the page. Floor plan amenities are those amenities that are included in all units of that floor plan. Unit amenities are amenities that are available only for selected units. All floor plan or unit amenities that are selected for the property are listed here, grouped into categories of related amenities. To define the floor plan and unit amenities, perform the following steps: If this is a unit (or premium) amenity that residents will be charged for, click the Value link and enter the value of this amenity. If an amenity has a value and is assigned to a floor plan, the rent will NOT increase for the floor plan or any units of that floor plan. This is because floor plan amenities are considered to have already been factored into the floor plan base rent. If an amenity has a value and is assigned to a unit, this increases the unit rent. For example, base rent on a two-bedroom floor plan is $900, and two units in that floor plan have a pool view. If you assign the amenity "pool view" to those units, which has a value of $50, rent is $950 for those two units and $900 for all other units of the floor plan. When you enter a guest card and when you check for available units, the system displays a list of "desired features." This list is the list of all items that are selected as Searchable features in company setup, regardless of whether your specific property offers that amenity. Both the guest card and the available unit search indicate whether one of these desired features is available at the property by displaying these features in bold. If you want an amenity to display as being available at your property, click the drop-down arrow and select a Search group. Only by assigning your property's amenities to a Search group will the amenity show as available at your property. As a general rule, all floor plan/unit amenities that are available at your property should be assigned to a Search group unless you do not want prospects to know that that amenity is available. If this is a floor plan amenity that is included in base rent, select the Floor plans link and select all of the floor plans that have this amenity. You can also select the Associated by floor plan link at the top of the page, which lets you assign a floor plan to several amenities at one time. Assigning an amenity to a floor plan does not affect the rent amount charged for units of that floor plan. Assigning an amenity to a floor plan does affect how available units are presented when you search for available units. When you search for available units, you have the option of searching for units that have particular amenities or desired features. If an amenity is assigned to a Search group and to specific floor plans and units, the system presents units that have the amenity before other units that are available on the same date and have the same price range. (The needed by date and price range criteria are weighted heavier than amenities.) Therefore, as a general rule, all floor plan/unit amenities that are available at your property should be assigned to at least one floor plan or one unit. If this is a unit amenity that a resident will pay extra for, select the Units link and specify all of the units that have this amenity. You can also select the Associated by unit link at the top of the page, which lets you assign a unit to several amenities at one time. Assigning an amenity to a unit can affect the rent amount charged for that unit. If there is an amount entered in the Value column for this amenity, unit rent is increased by that amount for all units that are individually assigned the amenity. If the Value is negative, unit rent is decreased by that amount for all units that are individually assigned the amenity. (To enter a negative amount, you must be assigned to a custom role that has the "Allow user to enter negative amount in amenity setup" right.) If the Value is "0," there is no effect on unit rent. Assigning an amenity to a floor plan does affect how available units are presented when you search for available units. If an amenity is assigned to a Search group and to units, the system presents units that have the amenity before units that are available on the same date and have the same price range. (The needed by date and price range criteria are weighted heavier than amenities.) Therefore, as a general rule, all floor plan/unit amenities that are available at your property should be assigned to at least one floor plan or one unit. The remaining fields (Marketing – View, Name, and Eligible floor plans) are used in your property marketing materials. All Leasing & Rents properties provide a basic eBrochure, which uses amenity information you define here. If your property also uses the CrossFire portals, the amenity marketing information is used in those product centers as well, including your property web site, the online leasing portal, and the online resident portal. Click the View check box beside the amenity if you want this amenity to appear in your property eBrochure, on your property web site, in your online leasing portal, or as part of the online renewal process on your resident portal. If you do not want the amenity to appear in your marketing materials, do not select the View check box. Review the amenity description in the Marketing – Name column. By default, this is the description entered for the amenity at the time it was pushed, but you can change the description for use in your marketing materials. For example, there is a storage unit amenity called "Storage unit – under 50 sq. ft." For your marketing materials, you might want to show this as "Storage unit (small)" instead. If you leave the Marketing – Name field blank, the standard description will appear in your property marketing materials. If you use the online lease renewal process as part of your resident portal, use the Eligible floor plans link to include this amenity as a renewal option. When residents renew online, they will have the opportunity to select one or more of these amenity upgrades as a renewal incentive. For each of these upgrade amenities, you must assign the floor plans that are eligible for the upgrade. Click the link and then select each floor plan that can add this amenity as part of the online renewal process. When assigning renewal amenities, review the floor plans and units that already have this amenity assigned. That is, if the amenity is assigned to floor plan A1 in the Floor plans column, you should not also assign the amenity to floor plan A1 in the Eligible floor plans column, since units with that floor plan already include that amenity. Online renewals and the CrossFire Resident Portal are only available if your property is using OneSite Leasing & Rents or OneSite Leasing & Rents—Student Living. To save your change and close this page, click OK. To maintain or review property amenities, click the Property option at the top of the page. Changing the Value of an Amenity From the Maintain site amenities page, click the Value link beside the unit amenity. Enter the new amount. Enter a description of the amenity value, if appropriate. Click Save. The system ends the current unit amenity, and adds the new unit amenity that starts on the current property date. This is the new amount that a resident will pay for this amenity if the amenity is added as an upgrade to a specific unit.
