Compliance Depot Quick Steps Guide for Property Managers Compliance Depot Process The process starts once the vendor pays the fee to Compliance Depot. Documents are reviewed, and the background screen is ordered. All documents are processed within 24-48 hours. If there are deficiencies with the vendor’s documents, then the vendor will receive recurring emails until they are approved. Vendors should check their online account or contact Compliance Depot regularly until Approved. Search for Vendor? 1. From the Vendor Tab, click Search. 2. Near the middle of the page, click either Client Vendors, Location Vendors or Compliance Depot Vendors. 3. Enter the Vendor Name, click Contains. 4. Refine search with City, State, Zip or Status. 5. Click OK or hit Enter. 6. Click on the Vendor business name, blue link at the bottom. Note – remember if searching for Compliance Depot Vendors, unclick Show Enrolled Only. How to Invite a Vendor to My Vendor List? 1. From the Vendor Tab, search for your vendor. 2. Once you have located the vendor needed, click on the vendor business name, blue link. 3. Scroll down to the middle, click on invite. 4. Please complete the invite information 5. Within 24 hours after Pegasus Corporate approves, an email will be generated to the vendor, inviting them to complete enrollment online or call our call center. Add a New Vendor to My Vendor List? 1. After searching for the vendor, scroll to the bottom of the vendor page and click Invite Vendor. 2. Complete the Invite. 3. Within 24 hours after Pegasus Corporate approves, an email will be generated to the vendor, inviting them to complete enrollment online or call our call center. Why is My Vendor Not Approved? 1. From the Vendor Tab, search for your vendor. 2. Click on vendor business name, blue link. 3. Click on the vendor’s recommendation status, blue link. 4. This page will show a list of your company’s criteria requirements for Insurance, Corporate Status, Criminal and Licensing. Each will show either a Pass or Fail; Pass means the vendor has completed the requirements. Fail means that we either need the information or there’s an error with the vendors documentation. How to Review Notes? 1. From the Vendor Tab, search for your vendor. 2. Click on the vendor business name, blue link. 3. Scroll down to the bottom of the page to see the Notes section. 4. Notes are generated whenever we speak to the vendor or when we fax or email the vendor an update. How to Run a Report for My Vendor List? 1. Hover over the Vendor Tab, click Export. 2. Click on Linked, Select your property. 3. Select status needed and click Apply, this will generate a report that can be exported to Excel. 4. At the bottom, click Export. How to Print Vendor Documents? 1. From the Vendor Tab, Click the Documents Icon located by the Sample Insurance Certificate. 2. Under the blue bar in the middle of page shows what documents we have on file and what date they expire. 3. The second drop list will list documents we’ve received from the vendor. 4. To print the documents, click on the document so it will populate, then right click on the document, then select Print. Exempt – Okay to use this vendor, your company has waived this vendor from the compliance process. *Vendor does not work/service onsite* Pending – Wait to use this vendor, the vendor’s account is in review. Incomplete – Wait to use this vendor, either documents need to be submitted, insurance/license is expired or documents need to be corrected by the vendor/insurance agent. Locked – Wait to use this vendor, they need to pay annual renewal fee to Compliance Depot. Not Enrolled – Wait to use this vendor, they haven’t started the process with Compliance Depot.
